The following information is for setting up Microsoft Outlook 2003. If you are using any other version of Microsoft Outlook, the steps are also similar but the wording in your version may differ slightly.
Note* Make sure that you have first created the email account in your domain before you setup Outlook to access this account.
- Launch Microsoft Outlook and select Tools > E-mail Accounts.
- A setup wizard box will appear from which you will need to selectÂ "Add a new e-mail account" and click Next.
- You will be prompted for the server type, select "POP3" and click Next.
- For the Internet E-mail Settings (POP3) you will be prompted for the following info:
Enter your first and last name.
Enter your e-mail address.
Enter the user name only of your e-mail address. Do not include the domain extension.
Note* If you are hosting on a Virtual Private Server you will need your full user name with the domain extension.
Enter the password you set up for your e-mail account.
Incoming mail server (POP3)
The incoming server setting to use is mail.sitename.com, where "sitename.com" is the name of your domain.Â Â
Outgoing mail server (SMTP)
Enter mail.sitename.com for your outgoing mail server.
*Please note that it is recommended to use the SMTP server setting of your ISP (Internet Service Provider), you will need to contact them to gain their SMTP setting to use. This is due to the fact that some ISPâ€™s such as SBC Global block the use of 3rd party mail server settings in which you will not be able to send mail out using your domainâ€™s SMTP.
By default Outlook is set to download all mail from the server. If you need the ability to keep a copy of the messages on the server then you will need to click â€œMore Settingsâ€ from the E-mail Accounts window and click on the â€œAdvancedâ€ tab.
You will see a check box to leave a copy of the messages on the server. Also, you may want to set your Outlook account to check for incoming mail first before sending. To access these settings you will need to go to Tools > Send/Receive Settings > Double Click the Account.
